Description

US Heart and Vascular is needing a Temporary Medical Records Specialist to join our team at Cardiology Center of Houston in Katy, TX

Key Responsibilities:

Document & Information Management

  • Monitor and manage digital fax boxes throughout the day, ensuring all documents are reviewed, routed, and processed promptly.
  • Receive, review, and scan incoming paper and digital documents into patient charts using eClinicalWorks (eCW)
  • Verify accuracy, proper patient matching, and correct document categorization during import and scanning.

Imaging & PACS Workflow

  • Utilize PACS and image-sharing software to upload, retrieve, and route diagnostic images
  • Process external imaging reads, including intake, distribution to reading providers, and uploading results into the EMR
  • Communicate with external facilities for image requests, clarifications, or troubleshooting.

Record Requests

  • Process incoming medical record requests (patient, provider, insurance, legal, etc.) accurately and in accordance with HIPAA and organizational policies
  • Prepare, validate, and release records through approved channels and systems
  • Maintain tracking logs and ensure timely turnaround of all requests.

Administrative Support

  • Assist with daily mail handling, including sorting, distributing, and routing clinical documents to appropriate departments
  • Answer incoming departmental phone calls, providing excellent customer service and directing calls as needed
  • Communicate effectively with internal staff, patients, and external facilities regarding documentation and image workflows.

Compliance & Quality

  • Ensure all medical records processes comply with HIPAA regulations and organizational privacy standards
  • Maintain accuracy, confidentiality, and security of patient information at all times
  • Participate in audits, quality checks, and workflow improvement initiatives as needed.

Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a healthcare, medical records, or administrative support role.
  • Strong attention to detail and organizational skills.
  • Proficiency with computers, scanners, and common software applications.
  • Ability to maintain confidentiality and adhere to privacy regulations
  • Experience with eClinicalWorks (eCW) or other EMRs preferred but not required
  • Familiarity with PACS, image-sharing platforms, or diagnostic imaging workflows preferred but not required.
  • Understanding of medical terminology and healthcare documentation standards preferred but not required.
