Description
US Heart and Vascular is seeking a full-time Remote Operations Excellence Manager to join our team.
Position Summary:
The perfect candidate will drive high impact strategic initiatives, leading cross-functional project management, and implementing platform wide operational programs. This role standardizes clinical operational workflows, curate standard workflows and standardized operational processes, and training materials to improve practice performance, patient experience, and team effectiveness.
Responsibilities:
Project Management & Strategic Initiative Execution
- Lead end-to-end project management for cross-functional operational and strategic initiatives across physician practices
- Develop project charters, work plans, timelines, and status reports; ensure projects are delivered on time, within scope, and aligned with enterprise priorities
- Facilitate governance and stakeholder update routines; prepare executive-level communications and presentations
- Develop, write, update, and maintain standard work, SOPs, job aids, workflows, and operational documentation
- Conduct workflow observations, process mapping, and gap analysis to identify inefficiencies, variability, or rework.
- Create scalable operational playbooks and toolkits that support consistent execution across all sites
- Establish documentation control processes including versioning, review cadence, and approval workflows.
Performance Improvement & Operational Reliability
- Analyze operational KPIs to identify opportunities in scheduling, access, throughput, patient flow, referrals, and provider support efficiency
- Use improvement frameworks (e.g., Lean, PDSA, A3, root cause analysis) to diagnose root causes and design solutions
- Develop dashboards and metrics reports, present insights and recommendations to leaders and providers
- Implement control plans, audits, and leader standard work to ensure long-term sustainability of improvements
Training Development & Deployment
- Develop operations training materials including curriculum outlines, facilitator guides, e-learning support content, slide decks, and competency checklists
- Coordinate with practice operations leaders and training teams to deliver role-based training across administrative and clinical support teams
- Monitor training effectiveness using assessments, adoption metrics, and performance outcomes
Knowledge and Abilities:
- Exceptional communication and presentation skills, with ability to influence executive stakeholders.
- Strong problem‑solving skills with a proactive, solutions‑oriented mindset.
- Experience writing standardized clinical workflows, process stream mapping, and standard operation procedures
- Training various stakeholders and clinical operations team members leveraging digital solutions
- Demonstrated ability to influence and drive change across teams at all levels of an organization, aligning resources and work efforts with business goals
- Proven ability to drive results, influence decision-making, and foster collaboration in a matrixed organizational structure
- Ability to plan, sequence, track, and deliver complex initiatives across multiple stakeholders.
- Proficiency in process improvement strategies (Lean. Six Sigma, etc.)
- Working knowledge of Office 365 programs such as Excel, Outlook, Word, PowerPoint, etc.
Minimum Requirements:
- Bachelor’s degree and/or equivalent experience.
- Three (3) years of project management experience.
- Experience in working with ambulatory and/or management services organization setting.
- If the individual in this role will claim mileage on their expense report, a current valid state driver’s license and required minimum auto insurance coverage.
