Role Description

The ideal candidate is a proactive, critical thinker with a passion for problem-solving. This is a part-time Office Coordinator role (20–25 hours per week) requiring coordination and management with a variety of stakeholders in a results-oriented, rigorous, fast-paced environment.

Responsibilities include the following areas (though not limited to):

Kitchen and Facilities Upkeep

  • Complete office opening procedures, including lobby readiness, lighting, music, coffee service, and equipment checks.
  • Maintain an organized, well-stocked kitchen, common areas, workroom, and office-supply inventory; coordinate grocery and supply orders and deliveries.
  • Monitor the appearance and functionality of shared spaces, complete routine upkeep, and promptly identify issues requiring service or repair.

Administrative Support

  • Prepare and send the weekly staff-calendar reminder, manage lunch and guest list for the Chef and administrative team.
  • Run local business errands and provide other recurring office and administrative support as needs arise.

Vendor and Building Coordination

  • Coordinate day-to-day relationships with food-service, cleaning, security, supply, and building vendors.
  • Submit and track building work orders, communicate with appropriate contacts, and follow through until issues are resolved.
  • Log guest arrivals, pre-register guests and vendors, support meeting-space coordination, and serve as a primary contact for building security.
  • Retrieve, sort, and distribute mail and packages, including notifications to portfolio-company teams as needed.

  • Proficiency with Microsoft Office applications, including Outlook.

  • Supervisory experience with knowledge of business operations, facilities management, and administration best practices.
  • Effective communication skills, exceptional interpersonal and relationship-building skills, and strong decision-making abilities.
  • Hands-on, "can-do" attitude.
  • Ability to lift/move 50 lbs.
  • Anticipation of needs internally and externally.
  • Willingness to be available or coordinate solutions before acute needs arise.
  • Ability to work on-site in the Germantown office, part-time (20–25 hours/week).
