We are Imagine Pediatrics, a devoted and compassionate, multi-disciplinary pediatrician-led medical group that is creating a world where every child with complex medical conditions gets the care and support they deserve. Energized by our mission to reimagine pediatric health care, we are pioneering virtual-first care services that include care coordination and around-the-clock access to complex-care clinicians from home. What You’ll Do:
As an Executive Business Partner with Imagine Pediatrics, you will support the daily functions of the executive(s) with a polished and service-oriented demeanor. You will take on a wide range of responsibilities to help guide decision making in ambiguous circumstances with a “self-starter” attitude. Aptitude for working in collaborative team environments with a focus on curiosity and communication is a must. You will:
- Provide extensive calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders (especially Administrative colleagues) throughout the company
- Coordinate assigned executive’s team and cross-functional meetings, including scheduling, logistics, agenda creation, and preparation of supporting materials
- As directed, take meeting minutes and notes; communicate and coordinate any follow-up actions.
- Coordinate, schedule and manage travel, expenses, meetings, seminars series, speaking engagements and conferences for assigned executive and senior members of department.
- Provide support to assigned executive’s team with various intra-department projects within assigned department or executive operations team, including but not limited to creation, documentation, communication, and ongoing management of processes; information tracking; and compilation/formatting of documents and meeting materials.
- Plan, schedule and coordinate departmental off-site meetings and events
- Communicate effectively with internal and external stakeholders to coordinate meetings and other business needs, representing executive when needed.
- Perform other administrative duties related to org/department management, including conference registrations, managing technical and facilities related issues, ordering office supplies, and other tasks, as needed.
- Prepare and process departmental paperwork, including non-routine correspondence, complex presentations, contracts, and detailed reports.
- Format and draft information for internal and external communication including memos, emails, presentations, and reports.
- Support onboarding tasks, including travel, for new hires joining assigned executive’s department.
- Initiate and continuously improve administrative procedures for executive operations team and assigned department.
- Other duties as assigned.
What You Bring & How You Qualify:
First and foremost, you’re passionate and committed to creating the world our sickest children deserve. You want an active role in building a diverse and values-driven culture. Things change quickly in a startup environment; you accept that and are willing to pivot quickly on priorities. In this role, you will need:
- 5+ years of executive support experience
- Bachelor’s degree or equivalent experience
- Expert level written and verbal communication skills + strong organizational and time management skills with the ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Ability and desire to thrive in an intense, do-it-yourself, start-up environment
- Strong interpersonal skills and the ability to build relationships with key stakeholders
- Experience working with a pediatric population strongly preferred, virtual care experience a plus
