Responsibilities

The Senior Director - Scheduling and Patient Access will oversee patient scheduling, logistics and access functions for HarmonyCares while living the mission, vision, and values of the organization. This leader will ensure effective and efficient deployment of clinical resources in the medical group with focus on patient experience, patient engagement, provider productivity and overall resource utilization. This role manages a team of scheduling leaders from multiple geographies around the United States. Reporting to the Chief Transformation Officer, this role will closely partner and integrate in medical group operations with matrixed accountabilities across Division SVPs, Regional Operations leaders, Regional Clinical Leaders and local Practice Managers. In collaboration with IT, product and operations leaders, ensure the scheduling and logistics system and technology is designed and deployed for optimal performance. This leader will also drive process and policy standardization, ensure consistent scheduling agent competencies and consistently monitor overall scheduling performance across all HCMG markets on a daily basis.

Essential Duties and Responsibilities

  • Develop, maintain, enhance and monitor:
    • Standard scheduling policies and procedures
    • Office level scheduling operations and functional responsibilities
    • Provider availability and patient facing time
  • Serve as a central point of escalation to address scheduling concerns, complaints, and issues, both internally and externally
  • Define and lead a collaborative management process (especially in partnership with local operations leadership) to drive day to day scheduling and logistics operations
  • Collaborate with operational leadership to maintain scheduler and provider assignments as well as coordinate cross-market coverage as needed
  • Identify areas of quality and execution gaps and ensure appropriate remediation
  • Transform scheduling and logistics function into patient centric access center
  • Lead, performance manage and support direct reports across multiple geographies
  • Drive performance monitoring and reporting across daily operations and present outcomes, gaps, challenges and mitigation plans across various leadership forums
  • Establish and maintain comprehensive performance audit processes as needed
  • Provide direct supervision and management of the Scheduling Leads, the Centralized Scheduling pod, applicable contracted support staff, and other support teams
  • Directly partner with Office of Chief Medical Officers (OCMO) and Operations leadership to resolve escalations, drive systemwide standardization and resource optimization
  • Assess progress towards goals and objectives and respond in a timely manner to concerns from internal teams, external agencies, and patients/caregivers
  • Conduct regular 1:1s, performance reviews, and other feedback and coaching sessions to drive continuous improvement and growth

Qualifications

REQUIRED Knowledge, Skills and Experience

  • Bachelor’s degree in health care, Business or related field of study
  • 5 years of leadership in a health care setting
  • 5 years of employee and resource management experience
  • Experience leading multi-site central and decentralized scheduling, access and logistics teams
  • Experience with ad hoc analysis and reporting
  • Experience with electronic health record systems
  • Excellent verbal and written communication skills
  • Ability to work at computer screen for extended periods of time
  • Ability to stoop, bend, push or lift 30 pounds
